2. What data we collect
We may collect and process:
- Your name and email address
- Business details you provide in your profile (for example trading name, address, bank details)
- Financial records you create in the app, including invoices, quotes, expenses, and mileage logs
- Receipt images you upload for scanning
- Basic usage and technical data needed to run and secure the service
3. How we use your data
We use your data to:
- Provide, maintain, and improve Billdr
- Send transactional emails (for example account and billing messages)
- Process payments through Stripe
- Sync records to FreeAgent when you connect your account and give permission
4. Data storage
Your account data is stored securely on Supabase (PostgreSQL) on servers in the EU. Receipt images and other files are stored in Supabase Storage, also in the EU region where configured for your project.
5. Third parties
We use the following categories of processors:
- Stripe — payment processing and subscription billing
- FreeAgent — optional sync for Making Tax Digital and accounting records
- Veryfi — receipt scanning and data extraction
- Resend — sending email
- Vercel — hosting and delivery of the application
AI-powered features: Billdr uses AI-powered features including an expense category suggestion tool, a tax assistant, a voice-to-quote tool, and an invoice chase drafter. These features send relevant business data (such as supplier names, invoice amounts, and financial totals) to Anthropic's API to generate responses. Data sent to Anthropic is processed in accordance with Anthropic's privacy policy, available at anthropic.com/privacy. No personally identifiable information beyond what is necessary for the feature is transmitted.
Each provider processes data in line with their own privacy policies and our instructions where applicable.
6. Your rights
Under UK GDPR you have rights including access, correction, and erasure of your personal data, and the right to object to certain processing. To exercise your rights, email hello@billdr.co.uk. We will respond within a reasonable time.
7. Data retention
We retain your data while your account is active so you can use the service. You may request deletion of your account and associated data at any time by contacting us at the email above, subject to any legal obligations we must meet (for example retaining certain billing records).
8. Cookies
We use essential cookies and similar technologies required for authentication and session security. We do not use advertising or non-essential tracking cookies in the product as described here.

We are registered with the UK Information Commissioner's Office (ICO) under registration number ZC122943.
